Intent to File a Grant
 









 

After finding a grant and preparing the proposal, you need to complete an Intent to File a Grant Form.  The Intent Form functions as the written communication which informs the district administration and school board of your proposal.  After reviewing the Intent Form and formulating a few ideas, feel free to call the Grants Office if you need any assistance.

  1. When completing the Intent Form, please be explicit and use N/A if a section does not apply to your project.
  2. Secure your principal's or supervisor's signature on the Intent Form.
  3. The largest benefit to students is when their regular teacher is in the classroom.  Please try to target professional development training during inservices, weekends, or after school.  If your grant program reduces teacher contact time with students, explain your rationale for this on the Intent Form.
  4. Develop budgets by using the staff member's contracted hourly rate of pay when hired on an hourly or FTE basis.  Whenever appropriate, and in accordance with a funding source's guidelines and the district's labor agreement, stipend payment is permissible.

  5. Read the Expenditure of Grant Funds document and adhere to the established district equipment purchases, travel, meals, lodging, personnel employment/payment, and indirect cost guidelines.

  6. Your Intent Form must be approved by the district prior to submitting the proposal to the funding source.  Return the completed and signed Intent Form to Bruce Abernethy - Grants Office/Instructional Services:

  1. In most cases, the intent can be approved by the Superintendent's designee (Assistant Superintendent of Instruction) within a few working days and then reported to the school board. 
     

  2. In some cases, the funding agency requires a school board resolution for filing, participating in a partnership or consortium, and/or signing legal assurances/certifications as stipulated in the funding source's guidelines

When school board action is required, please return this Intent Form to me by noon on Tuesday prior to the designated board meeting date to obtain resolution passage. Your presence at the school board meeting is also needed in case specific questions are asked about your proposed idea.  

NOTE:  Any grant proposal needing personnel or program sustainability after grant funds run out will be presented to the Leadership Council, whether or not the Intent Form needs school board approval.

As a grant applicant, you may wish to discuss your project with a program director from the funding source before submitting a full proposal.  Preapplication conversations, when provided, enable foundation staff to steer applicants toward the appropriate funding area and help them develop strategies to reach their target audience.


NOTE:
  Once you submit your proposal, please forward a copy of the grant to me.  In addition, when you receive a response (acceptance or denial) from the funding agency, please send me a copy of the letter, and send the funding agency a note thanking them for either considering your proposal or funding your proposal.
